Photo and logo guidance
Your card's images come from two different places. Getting the format and size right at the source means your card loads faster and looks sharp, since CardLink displays what it's given rather than re-processing it.
Your profile photo
Your card uses your Microsoft 365 / Entra profile photo — whatever's set there reaches your card at the next sync. Your card displays it at 360×360 pixels, so:
- Use a JPEG, not a PNG or HEIC. A photo at the same visual quality is dramatically smaller as a JPEG than as a PNG — a typical PNG photo can be 5-10x larger than an equivalent JPEG for no visible difference on a card this size.
- Square (1:1 crop), head and shoulders. Matches how it's displayed — anything else gets cropped to fit.
- Around 360–500 px on a side is plenty. Larger just means a bigger download for no visible gain, since the card never shows it larger than 360×360.
If an uploaded photo is unusually large, it may display smaller than expected rather than failing outright — keeping it JPEG and reasonably sized avoids that entirely.
Your company logo
Set in your company's CardLink settings, not from an individual profile. A few things to know:
- PNG with a transparent background if your logo needs to sit on a colored card background; JPEG is fine for a logo that's always on white.
- Keep the file size modest — a logo doesn't need to be print-resolution to look sharp at card size.
- If your logo looks cropped or cut off (common with a wide logo or one that includes a wordmark), your admin console's Domains tab has a logo shape and fit setting that can fix this per domain — worth checking before trying to resize the logo file itself.
Template backgrounds
If you're working with CAD on a custom template background, that's handled directly with your designer — it's a different asset path from your photo or logo and isn't self-service today.
